You’ve Found the Perfect Tender. Now, How Do You Win It?.

Once you find tenders that match your business profile, the real work begins. Many companies make the mistake of using a generic “copy-paste” approach, but in a competitive market, a generic response is a fast track to a rejection letter. Winning is about proving you are the most reliable, compliant, and value-driven choice.
 
1. The “Bid/No-Bid” Decision
Just because you find tenders doesn’t mean you should apply for all of them. Before committing resources, ask:
  • Do we meet the mandatory criteria? Check for required insurance levels, ISO certifications, and financial turnover thresholds.
  • Can we deliver? Assess if you have the staff and equipment to handle the contract without overstretching.
  • What is the scoring split? Look for the Price/Quality weighting. If it’s 70% quality and 30% price, your written answers are more important than being the cheapest.

 

2. Deciphering the Evaluation Criteria
Buyers use a scoring matrix (often 0–5 or 0–10) to mark your response. To get top marks:
  • Answer every part of the question: If a question has three parts, label your response clearly to ensure the evaluator doesn’t miss a single point.
  • Use the buyer’s language: Mirror the terminology found in the specification document.
  • Provide evidence: Don’t just say you are “reliable.” Provide a case study with data showing you’ve delivered similar projects on time and under budget.

 

3. Mastering “Social Value”
In modern public sector procurement, up to 10%–20% of the score is often based on Social Value. When you find tenders today, you must be prepared to explain how your business will:
  • Create local jobs or apprenticeships.
  • Reduce carbon emissions.
  • Support community initiatives or local charities.

 

4. The Final Review
Errors in a bid suggest errors in delivery.
  • Proofread rigorously: Use a “fresh pair of eyes” to check for typos.
  • Compliance check: Ensure every requested attachment from health and safety policies to financial accounts is uploaded correctly to the portal.
  • Submit early: Avoid the last-minute technical glitches on procurement portals like ProContract or Jaggaer.

 

The ability to find tenders is only half the battle. By shifting your focus from “applying” to “strategising,” you transform from a participant into a front-runner.
