You’ve Found a Contract: The 24-Hour Checklist to Master Your Bid.

The moment you find tenders that align with your business goals, the clock starts ticking. In the world of UK procurement, time is your most precious resource. A panicked, last-minute submission is rarely a winning one. To stay ahead of the competition, follow this strict 24-hour checklist the moment you identify a “must-win” opportunity.
 
1. Hour 1: The “Bid/No-Bid” Gut Check
Don’t let the excitement of a new lead cloud your judgement. Before committing days of staff time, verify:
  • Mandatory Requirements: Does the Selection Questionnaire (SQ) require a turnover or insurance level you don’t yet have?
  • The Deadline: Is it realistic? If the submission is in three days and requires a 5,000-word technical proposal, it might be better to keep searching to find tenders with a longer lead time.
 
2. Hours 2–4: Deconstruct the ITT
Download the full Invitation to Tender (ITT) pack from the portal (e.g., ProContract or Jaggaer).
  • Identify the Weighting: Is this a “Price-Quality” split of 40/60 or 70/30? This tells you whether to focus your energy on the spreadsheet or the story.
  • Find the “Killer” Questions: Highlight the sections with the highest marks. These are your “win themes.”
 
3. Hours 5–8: The Clarification Window
If you find tenders with ambiguous specifications, you must ask questions early.
  • Check the Deadline for Queries: Most buyers stop accepting questions a week before the final submission.
  • Submit Your Questions: Use the portal’s messaging system to ask for clarity on TUPE, KPIs, or site visit requirements.
 
4. Hours 9–16: Resource Allocation
Winning isn’t a solo sport. Assign roles immediately:
  • The Subject Matter Expert (SME): To provide the technical details.
  • The Bid Writer: To polish the “Social Value” and “Management” sections.
  • The Compliance Officer: To gather latest accounts and ISO certificates.
 
5. Hours 17–24: The Project Plan
Create a “backwards-running” calendar. If the deadline is the 30th, aim for a “internal completion” on the 27th. This allows 48 hours for a final proofread and protects you against portal crashes on the day of submission.
